Each type of event requires its own unique set of plans based on to what extent you are responsible for event-are you planning the entire conference, for example, or only responsible for a session or a portion of an event.
Timelines
Conferences/Symposiums-requires ideally 9-12 months to plan. Best if you create a planning committee or team to address the many facets of a larger event.
Venue
Presentation within a conference-while this requires much less advance planning, thought to are there any expectations of the conference planner that you need to consider when planning your portion. Planners often want information on your session 6-9 months prior to the event.
Questions to Ask:
– What time constraints or timelines might be in place, will the entire audience be participating in your part or will your session be of interest to a portion of the audience?
– Will the conference planners promote your session or is there something you need to do to inform people of what you have to offer.
– What is in place to collect feedback or is this something you need to plan for within your session?
Duration of Event
Depending on the complexity of the training, whether you can use a previously developed curriculum, the amount of time needed to plan can be from a few days to a few weeks. This type of event can be for an hour, a day, or multiple days in duration. You and/or your presenter with your assistance can decide how this will be designed based on what was requested.
